The ICS group was established in April 2006. It brings together four existing corporate services sections and is focused on information management and communication. The group is responsible for strategy and operations in the areas of information and communications technology (ICT), management of corporate information, corporate communications and the Archives New Zealand Library.
The Group Manager and Chief Information Officer is Alison Fleming.
Archives New Zealand places a high priority on communicating effectively with government agencies, stakeholders and users in a way that is inclusive of their culture and values.
We have developed a strategic communications plan and every year we develop a communications business plan which ensures our efforts are appropriately focused. Tools we have for communicating with our stakeholders include our corporate reporting documents (Statement of Intent and Annual Report), our newsletter and our website. The Technology Services section is responsible for all aspects of ICT at Archives New Zealand. The unit supports our internal computing environment, as well as public facing services such as the Archway finding aid and our corporate web sites.
In 2005, the IT Transition Project was completed. The successful goals of this project included rationalising the Archives computing environment to make it easier for staff to use and support, and to reduce overall support costs. On the applications side, Archway will continue to be a focus for development as other legacy applications are retired and integrated with Archway. These activities have placed Tech Services in a strong position to meet the future ICT challenges facing Archives New Zealand.
Recordkeeping is an essential enabler in any organisation’s corporate governance and critical to accountability. Just as for financial management and human resources, it needs to be strategically and professionally managed.
The Records Management Unit is responsible for managing Archives New Zealand’s internal recordkeeping policies and programmes, which encompass all of the organisation’s administrative records in both electronic and physical formats. Recordkeeping advice is provided to staff in Head Office and Regional Offices. All Archives New Zealand staff receive training to raise their awareness of their recordkeeping responsibilities, with particular emphasis on ensuring that all corporate records are created and maintained in the corporate recordkeeping system.
Archives New Zealand has a leadership role in recordkeeping within Government and, as such, staff need to be kept informed of current scholarship and current trends in recordkeeping practice and thinking. All staff need to be fully informed of professional best practice and standards within their fields.
The Library is responsible for the provision of information services to all staff and a small group of external subscribers. This includes the acquisition and management of published material and the routine management of institutional membership in other organisations.
Library services are currently being extended to a wider external audience as part of Archives New Zealand’s “Archives in the Community” policy.
